Abstract
Kudis Privat Jember is a private tutoring institution facing inefficiencies in its operational business processes. Identified problems include duplication of student data recording across three separate media in the student registration process, unintegrated manual attendance recording in teaching and learning activities (KBM), as well as manual grade recapitulation, the absence of a report receipt confirmation mechanism, and the lack of a structured archiving system in the learning evaluation process. This study aims to identify and model the current business processes (As-Is), analyze problems using the Business Process Improvement (BPI) approach, design proposed business process models (To-Be), and compare both models at Kudis Privat Jember.
This study employed a descriptive qualitative design with a case study approach. Data were collected through direct observation and semi-structured interviews with three informants: the Principal, the Administration Officer, and the Head Tutor. Problem analysis was conducted using Value Added Analysis, Bottleneck Analysis, Root Cause Analysis, and Redundancy Analysis. Business process modeling was performed using Business Process Model and Notation (BPMN) with Bizagi Modeler.
Analysis results identified four Non Value Added (NVA) activities and three Business Value Added (BVA) activities requiring mechanism improvement across the three business processes. Based on these findings, the Streamlining phase was applied using four BPI streamlining tools: Duplication Elimination, Automation and/or Mechanization, Error Proofing, and Standardization. The resulting To-Be models encompass Google Form integration as the primary database without manual re-entry, QR code-based digital attendance, automated grade recapitulation, a report receipt confirmation mechanism involving parents, and structured digital archiving of learning reports. Validation by all informants confirmed that the To-Be models are feasible as improvement recommendations for Kudis Privat Jember.
This study concludes that the BPI approach effectively identifies business process inefficiencies and produces realistic improvement recommendations that can be implemented incrementally using existing available technology.
